12 first-timer mistakes, and how I fix them
Most first-voyage regrets come from a deadline nobody mentioned. Here are the twelve I see most often, the real dates and numbers behind each one, and what I do about them for my clients.
The short answer
- Know your fare’s dining window: 15 days out on Base, 45 on Essential, 60 on Premium, 120 in RockStar.
- Budget gratuities on bookings made from October 7, 2025: $22 per sailor, per night, or $20 if you prepay.
- Book Shore Things at 120 days out, fly in the day before, and buy any Bar Tab at least 24 hours before sailing.
The twelve mistakes
Not knowing when your dining window opens
Virgin has six signature restaurants and no main dining room, and you can book a limited number of tables before you sail. When your window opens depends on your fare: 15 days out on Base and Lock It In, 45 on Essential, 60 on Premium and 120 in RockStar suites, for bookings made on or after October 7, 2025 (Virgin dining FAQ). Older bookings mostly open at 60 days, or 120 for RockStars (My Account FAQ).
Windows typically open around midnight Miami time, and only about a third of tables are released before the voyage. On a 1 to 5 night trip you can hold one dinner per restaurant, on 6 to 8 nights two, and on 9+ nights three. Pink Agave and Gunbae have the fewest seats, so they go first.
What I do: I put your exact window opening on your calendar the day you book. If I booked you, I can make the reservations myself when it opens, starting with Pink Agave and Gunbae, then fill gaps from the onboard waitlist. Base sailors at 15 days out should expect fewer good times, and that is often the strongest reason to pick Essential.Choosing Base or Lock It In without reading the fine print
The entry-level fares are restrictive for a reason. Base and Lock It In are 100% non-refundable except taxes and fees, with no grace period, no name or date changes and no Future Voyage Credit (Virgin pre-voyage policies). With Lock It In, Virgin also assigns your cabin, and it cannot be moved up to Essential or Premium later.
What I do: I compare all three fares side by side before you commit. If there is any chance your plans change, Essential is usually a little more than Base and protects much more of your money. The full breakdown is in my cancellation guide.Forgetting gratuities on new bookings
For bookings made on or after October 7, 2025, crew gratuities are no longer built in. They are $22 per sailor, per night on board, or $20 if you prepay (Virgin payments FAQ). For two people on a 7-night sailing, that is $308 on board or $280 prepaid.
What I do: I prepay gratuities for clients who want the $2-a-night difference, and I show them in your quote so there are no surprises. Check yours with my gratuity checker.Assuming there is an unlimited drink package
Virgin does not sell an all-you-can-drink package. Instead you prepay a Bar Tab, and Virgin adds a bonus: $25 extra on $200, $50 on $300, $100 on $500, $175 on $750 and $250 on $1,000. You can buy one until 24 hours before sailing, but not on board, and unused Bar Tab is not refunded (Virgin Bar Tab FAQ). Water, sodas, drip coffee, sachet teas and non-pressed juices are included already.
What I do: I size the Bar Tab with clients using my Bar Tab calculator, so you get the bonus without overbuying. If you are a light drinker, I often tell people to skip it and just use their Sailor Loot.Mixing up Sailor Loot and Bar Tab
They look the same on your folio, but they work differently. Bar Tab is drinks only and gets used first. Sailor Loot covers almost anything on board, including drinks, the spa, tattoos, retail, Shore Things and casino play, but it cannot pay for anything before you board. Neither one is refundable or rolls over to your next voyage.
What I do: I explain exactly which Loot and Bar Tab amounts are on your booking before you sail. The details are in my Sailor Loot vs Bar Tab guide.Waiting too long to book Shore Things
Virgin's excursions open 120 days before sailing, or 135 days for RockStars (Virgin Shore Things FAQ). Small-group and limited-capacity tours tend to sell out first. Payment is due when you book.
What I do: I book Shore Things for clients the day they open. If nothing on Virgin's list fits, I compare options from the partners I trust, and I only pick independent tours with free cancellation and a clear back-on-board buffer.Flying in the morning of the cruise
Virgin's advice is to fly in the day before, and if you do fly in the same day, to land by 2 p.m. (Virgin embarkation guide). The ship will not wait for a delayed flight.
What I do: I build in a hotel the night before for every client and book it through Fora or Virtuoso when there are extra perks like breakfast or an upgrade. I also save Virgin's travel-disruption line, +1 954-654-7173, in your trip notes.Showing up at the terminal too early
Your app time is an arrival time, not a boarding time, and you generally board about 30 minutes later. Arriving well before your slot usually means waiting outside. Boarding typically starts around 2 p.m., with RockStars first and then Splash of Romance and Deep Blue Extras from about 1:45 p.m. Most ports let you drop luggage from about 9 a.m. and go explore.
What I do: I remind clients to finish Ready to Sail early so they get an early arrival slot, and I tell them where to drop bags and what to do with the free morning in that port.Leaving the app and paperwork until the last week
The Virgin Voyages app runs almost everything: check-in, the health form, reservations, the daily agenda and your bill. The health form opens about 24 hours before sailing, and print-at-home luggage tags arrive about 72 hours out where they are offered.
What I do: I send a countdown checklist with these dates. You can build your own with my planning tools.Packing something Virgin confiscates
Power strips, irons, candles, drones, CBD and THC products, and Starlink or travel routers are all banned, along with a few other items on Virgin's prohibited items list. Hair tools are fine. Spirits you buy in port are held until the last night.
What I do: I send every client the short list before they pack. The full rules, including the two-bottle wine allowance, are in my onboard rules guide.Booking a cabin by fare alone
Two Sea Terraces at the same fare can be very different. Some forward and aft cabins have metal railings and no hammock, Limited View cabins look onto lifeboats, and cabins under the pool deck or above the nightclub venues can be noisy, according to Serious Sailors.
What I do: On Essential, Premium and suite fares I pick each cabin by hand: midship when motion is a worry, away from late-night venues, and next to friends when you are traveling as a group. Start with my cabin chooser.Skipping travel protection
Virgin offers Voyage Protection, which you have to add before final payment, and InVoyage Care from 14 days out at $49, $59 or $69 depending on voyage length (Virgin pre-voyage policies). You cannot combine them. Neither replaces good third-party travel insurance for medical evacuation.
What I do: I compare Virgin's protection with third-party travel insurance for every client, and I tell you plainly which one fits your trip.
Your pre-voyage timeline
These are the dates I track for every client. Your dining date depends on your fare, so check the table in my cancellation guide if you are not sure which one you have.
What I handle for you
What I do for my clients
- I choose the right fare with you before you pay a deposit.
- I pick your cabin by hand (on Essential, Premium and suite fares), not by algorithm.
- I make dining reservations the day your window opens, if you want me to.
- I book Shore Things at 120 days, and only use independent tours with free cancellation.
- I watch for upgrades and fare changes, including Virgin's 48-hour fare guarantee.
- You can text me before and during your trip.
My advice on your first voyage length
If you want to see what Virgin is really like, I usually suggest five or six nights over four. The shortest sailings are fun, but they can feel more like a weekend party. A couple of extra nights gives you time for the restaurants, the shows, the people and the quieter side of the ship.
You also do not need to drink a lot or go to every party to have a great trip. The food, the crew, the entertainment and the atmosphere are reason enough to sail.

Want me to plan this one with you?
I'm a Top 100 Virgin Voyages First Mate (2024 and 2025).
